Plan, deliver and record toolbox talks with proof

Toolbox talks lets you create, schedule and record safety briefings: in a group with a live quiz, online or self-paced in the employee app. You create a toolbox talk once and roll it out as often as needed, per project, per team or for the whole organisation. Signatures and knowledge checks show who received and understood the briefing.

Features

What you do with Toolbox talks

Create yourself or with AI

Start from scratch, from the library, or let AI put together a first version based on a topic, activities or risks. You edit the result and mark it ready for use.

Project or team roll-out

You set the assignment and the deadline; each project leader or team lead gets their own assignment and picks the moment. The overview shows per assignment how many people still need to attend.

Present with a live quiz

Deliver the toolbox talk as a slide presentation and play the knowledge questions as a live quiz on participants' phones, with results per question.

Sign-off with signature

Participants sign via the registration QR code, a signing card in the app or on the presenter's device. External participants enter their name and role or company.

Once is enough

Anyone who has already attended does not appear on the attendance list again until the repeat interval has passed. Attendance from outside the platform is recorded with Acknowledge.

Counts as training

Switch on counts as training and every participant who signed automatically gets an entry in the training register.

In practice

How it works

  1. 1

    Create the toolbox talk

Write the story with formatting, split it into slides and add knowledge questions. Then mark the toolbox talk ready for use.

  2. 2

    Schedule or roll out

Choose the format (in person, online, self-paced digital or hybrid), the moment or deadline and the target group. Before confirming you see how many employees it will be assigned to.

  3. 3

    Deliver

The presenter presents, has participants register via the QR code and can run the live quiz. At a location without a screen, you use the PDF printout with a sign-in QR code and blank attendance list.

  4. 4

    Sign off

Participants sign digitally. If a minimum score is set, attendance only counts once that score is reached.

  5. 5

    Prove it

The results tab shows per person who attended and signed. The PDF proof for the file contains the participants, results and signatures.

In the employee app

In the employee app, staff only see toolbox talks assigned to them or made freely available. Before signing they read a short AI summary of what is in the toolbox talk. They view the same presentation as the group, take the knowledge check and sign. Agency workers without the app join via the shareable link or QR code, with their name and company.

A selection of what AI does in Toolbox talks

AI helps compile toolboxes, summarises them for employees and answers questions about your data. What AI compiles for you, you edit.

Compile a toolbox with AI

AI creates a first toolbox based on topic, activities or risks, which you then edit.

Automatic summary for employees

As soon as a toolbox talk is ready, AI automatically writes a summary of a few points. Employees read it in the app before they sign. AI only uses what is in the toolbox talk; when it changes, a new summary follows automatically. You switch it on or off per toolbox talk, with the organisation default as the starting point.

Ask about toolbox data

On the AI tab you ask questions about your own toolbox data.

Printout in another language

If you choose another language for the PDF, AI translates the toolbox first.

This is a selection of the AI capabilities in this module, not everything. AI suggests, you decide. Nothing is applied without your approval.

Preparing for VCA certification: a checklist for your organizationDo you want to become VCA certified or keep your certificate? Then you want to know in advance what an auditor looks at and what evidence you need at hand. This checklist helps you approach the preparation in a practical way. Recording and analysing incidents and near missesEvery incident and near miss tells you something about how safe your work really is. You can only learn from it if it is reported, recorded and analysed. This article shows a practical way to do that. Organising a toolbox talk: topics, approach and recordsA toolbox talk is a short safety briefing on the work floor or in the workshop. Done well, it brings safe behaviour and attention back into daily practice. Here is how to choose topics, make the session interactive and record attendance. Toolbox topics: ideas by month, season and sectorThe best toolbox topics come from your own figures, supplemented with ideas for the season and your sector. Below you find a way to choose, a calendar per month and lists for construction, industry, installation, transport and food processing. Incident investigation: finding the root cause with the 5 whys methodIncident investigation starts with a simple question: why did this happen? If you keep asking it, you often end up at a cause in how the work is organized rather than at the person who happened to be there. Below you can read how that works in practice. Improving your reporting culture: how to get more near-miss reportsNear-miss reporting only happens when employees trust that it achieves something and costs them nothing. Below you can read how to find out why reports are missing, what to do about it and how to tell that it works. VCA* or VCA**: which certificate fits your company?VCA* or VCA**: which company certificate suits you depends mostly on how you work and what your clients ask for. You get the difference in plain words, including VCA-P for the petrochemical sector, and a fixed way to make the choice. Improving safety culture: what it is, how to measure it and what worksImproving safety culture only works once you know what it is: the unwritten way people in your organisation think about safety and act on it, even when nobody is watching. You read how to measure it and what helps in practice. Safety Culture Ladder explained: the steps, step 3 and how to startThe Safety Culture Ladder (SCL) is an assessment model from NEN that shows how mature an organisation's safety culture is, on five steps from pathological to progressive. A certification body mainly assesses behaviour and culture, through conversations and observations. Clients in construction, infrastructure and rail, among others, sometimes ask for a minimum step in tenders, often step 3.
Frequently asked questions

Questions about Toolbox talks

Can agency workers without the app take part?

Yes, via the shareable link or QR code in the browser, with their name and company. If the name matches the employee register exactly, the platform links the registration to that employee straight away.

Do I need to copy a toolbox talk to give it to several crews?

No. You schedule several sessions of the same toolbox talk, plus a digital assignment for anyone who could not attend if needed.

How do I see who has not attended yet?

The overview shows per session who is assigned, who has completed and who is overdue. For a mandatory assignment with a deadline, the platform sends a reminder automatically.

Can I use existing toolbox talks?

Yes. Besides your own, the library contains toolbox talks shared by BrydgeOne. A shared item never changes: you always make your own toolbox talk from it.

What does the AI summary of a toolbox talk contain?

Only what is in the toolbox talk itself, in two to four short points. The AI is given nothing else. If there is too little text to summarise, no summary appears, and after a change to the toolbox talk the old summary disappears until a new one is written. The toolbox talk itself remains leading and you switch the summary on or off per toolbox talk.
