Inspections that set the follow-up in motion

Workplace inspections let you run structured inspection rounds based on your own templates: in the platform, in the employee app or via a shareable link without login. By default, a failed item automatically becomes an incident or quality report, and measures for findings go to Actions.

What you do with Workplace inspections

Templates with your own checks

For each check you choose a multiple-choice or open answer, add guidance, and decide whether a photo or comment is required. Critical and stop-work questions are marked separately.

One-off or recurring

The scheduling wizard captures the template, date, frequency, project and, if needed, a machine or installation. Recurring rounds are managed under recurring checks.

Inspect without logging in

If you schedule for an external party via a link, a subcontractor for example completes the inspection in the browser, including the signature. The link and the app are multilingual with automatic translation.

Failures become reports

In a safety inspection a failed item automatically becomes an incident, in a quality inspection a quality report. If you prefer not to, you switch this off in the module settings.

Assess and assign findings

Findings are rated for severity with Kinney & Wiruth and get a measure with an owner and deadline. AI can suggest findings based on the answers and photos.

Inspection report as PDF

Once completed, you create an inspection report and choose whether photos, findings and the log are included, and in which language.

In practice

How it works

  1. 1

    Build a template

Set up the checks, or describe the inspection and let AI suggest questions. Choose whether failures go to Incidents or to Quality reports.

  2. 2

    Schedule

Choose one-off or recurring, a responsible person and who carries it out: yourself, a colleague in the employee app or an external party via a link.

  3. 3

    Inspect and sign

The inspector answers the checks, adds a comment or photo for deviations and signs. Without signal, the inspection is kept on the device and sent later.

  4. 4

    Follow up findings

Failed items become a report, and findings get a measure in Actions.

  5. 5

    Complete

Completion is only possible once the conditions are met, such as all checks answered and findings assigned. After that the inspection is read-only.

In the employee app

In the employee app, staff carry out assigned inspections and start their own from a template; an inspection they have started stays as a draft to finish later. External inspectors complete it via a shareable link in the browser, without an account.

A selection of what AI does in Workplace inspections

AI helps draft templates and phrase findings, and you decide what goes into the inspection.

Generate a template with AI

You describe what the inspection is about and AI suggests questions, categories and explanations that you then adjust.

Suggested findings

AI suggests findings based on the answers and photos of the inspection.

Descriptive title for rejections

When a rejected question automatically becomes a report, AI gives that report a title based on the check question and the explanation.

Ask about your inspection data

On the AI tab you ask questions about your own inspection data.

This is a selection of the AI capabilities in this module, not everything. AI suggests, you decide. Nothing is applied without your approval.

Organising a toolbox talk: topics, approach and recordsA toolbox talk is a short safety briefing on the work floor or in the workshop. Done well, it brings safe behaviour and attention back into daily practice. Here is how to choose topics, make the session interactive and record attendance. Toolbox topics: ideas by month, season and sectorThe best toolbox topics come from your own figures, supplemented with ideas for the season and your sector. Below you find a way to choose, a calendar per month and lists for construction, industry, installation, transport and food processing. Workplace inspection checklist: what to check and how to follow upA good workplace inspection checklist makes the difference between really seeing something and just walking a round. Below you can read what to check, how often, who does it and how to follow up findings, with an example checklist per theme. Managing hazardous substances: register, safety data sheets and storageA hazardous substances register gives you an overview of which products your organisation has, where they are kept and how people work with them safely. Here is how to set it up, from inventory and safety data sheets to storage, instruction and substitution. Choosing RI&E software: what should an RI&E tool be able to do?Good RI&E software lets you carry out the RI&E digitally and keep it up to date: take inventory per department, assess risks on a fixed scale, follow up measures with an owner and deadline, and have the RI&E reviewed. An RIE tool is more than a form to fill in, because the value lies in follow-up and repetition. Whether your RI&E must be reviewed, and with which instrument you work, depends on your organisation. Keeping track of work equipment inspection and maintenance: how to build an inspection registerYou keep track of work equipment inspection and maintenance in a register that holds, per item, its identification, location, type of inspection, interval, last and next date, the party who carried it out, the outcome, the certificate and the status. As an employer you decide which equipment has to be inspected, have a competent person do it, and be able to show the written proof at the workplace. Below you can read how to set this up, where intervals come from, what to do after a rejection and what an example register looks like.
Frequently asked questions

Questions about Workplace inspections

Can a subcontractor without an account carry out an inspection?

Yes. Schedule the inspection for an external party via a link; they receive a shareable link and complete everything in the browser, including the signature.

Does it work without internet?

Yes, in the employee app. The inspection is saved as you go, kept on the device when there is no signal, and sent as soon as there is a connection.

Is a signature required?

Yes. Without a signature an inspection cannot be submitted as completed, whether in the app, via the link or in the portal.

Does every deviation automatically become an incident?

By default yes, for a safety inspection. If you switch off automatic reports for failed questions, the deviation stays on the inspection and any measure entered still becomes an action in Actions.
