See for every supplier whether you may use them

The supplier register tracks which suppliers and subcontractors you use, how critical they are, whether their documents are in order and how they perform. Periodic evaluations help decide whether a supplier may be used. A supplier can only be set to Approved once there is an evaluation and no required document is missing or expired.

Features

What you do with Supplier management

Register with a final verdict

Counters show how many suppliers may be used, are conditional, may not be used or need an evaluation. Filter on critical suppliers and choose your own columns, such as score, documents and nonconformities.

Monitor requirements and documents

For each supplier you record requirements with source, check frequency and status, and track the validity of documents and certificates. A required document without a file counts as missing.

Risk and classification

Impact scores produce a risk score and score class. Together with the critical supplier flag this sets the final classification, with a required reason or justification when you mark a supplier as critical.

Periodic evaluation on criteria

You evaluate on quality, delivery, price, communication and safety, plus criteria that match the supplier type and impact areas. BrydgeOne suggests a verdict based on the scores.

Follow-up as action or CAPA

If the verdict calls for follow-up, you create an improvement action or CAPA straight away. Quality reports about the supplier count towards their file.

ASL export and file PDF

The ASL export (PDF) gives you the complete Approved Supplier List in your branding, ready for audits and customer assessments. For each supplier you can create a file PDF, with names anonymized if you wish.

In practice

How it works

  1. 1

    Add a supplier

With New supplier you enter company and contact, importance and evaluation, and the internal owner in three steps. The system suggests an evaluation frequency based on criticality.

  2. 2

    Record requirements and documents

On the detail page you add requirements, required documents and the risk classification.

  3. 3

    Evaluate

At the set frequency you get a reminder in the calendar and a notification. You score each criterion and choose the verdict.

  4. 4

    Follow up and approve

After a poor verdict you assign an improvement action or CAPA. Once the evaluation and documents are complete, you set the supplier to Approved.

Handling complaints: a fixed procedure from receipt to feedbackHandling complaints works better with a fixed procedure than with good intentions alone. When everyone knows what happens after the first report, the customer gets an answer sooner and your organisation learns from every complaint. This is what such a procedure looks like. What you buy or outsource stays your responsibility towards the customer. Here is how to build an evaluation that stays workable. Frequently asked questions

Questions about Supplier management

Does this also work for subcontractors with VCA?

Yes. Choose Subcontractor as the supplier type and add the documents you require under Requirements & documents, such as a VCA certificate, marked as required. No document requirements are attached to a type automatically.

When can a supplier be set to Approved?

Only when there is at least one evaluation and no required documents are missing or expired. Other statuses, such as Approved with conditions or Blocked, are available via Other status.

What does conditional mean?

Anything that is not a full yes and not a no. Usually the supplier may be used under agreed conditions until improvement actions are completed. A supplier that has not yet been evaluated is also conditional, as a signal that the file is not yet complete.

How do nonconformities end up with the right supplier?

In the quality report, indicate that it concerns a supplier and link the right party. The report then counts towards that supplier's file.
