From safety data sheet to workplace: every substance up to date

The substances register tracks all hazardous substances, from safety data sheet (SDS) to storage and workplace. You work with one current, reviewed SDS version per language, record use and exposure, and publish workplace instruction cards. Employees find instructions and emergency information in the employee app or via a QR code.

Features

What you do with Hazardous substances

SDS versions with review

Every new SDS version starts as to be reviewed and only becomes current after release, with who and when recorded. When the recheck date approaches, administrators are notified.

AI reads the SDS

When you add an SDS, AI reads the sheet and suggests data for the substance record. Only what you tick is adopted.

Request SDSs from suppliers

Requesting an SDS sends the supplier an email with an upload link that needs no login. For each request you see whether it was sent, opened and received.

Storage and stock

Record storage locations in a hierarchy with maximum capacity and a QR code, and log placements and stock movements. The module flags, among other things, exceeded capacity and overdue checks.

Use and exposure

For each use case you record where, by whom and how a substance is used, with exposure routes, control measures and required PPE.

Instruction cards as controlled documents

A workplace instruction card is generated per language with AI and only becomes official after review, approval and publication. A new current SDS marks a published card as needing revision.

In practice

How it works

  1. 1

    Register a substance

The new substance wizard asks for the name, the supplier and the safety data sheet. Without an SDS, the substance is flagged as missing one.

  2. 2

    Review the SDS

Check the new version and release or reject it. There is always one current version per language.

  3. 3

    Record storage and use

Add placements at storage locations and describe the use cases with exposure and measures.

  4. 4

    Publish instructions

Let AI draft a workplace instruction card, review and publish it, and complete the substance's emergency information.

  5. 5

    Follow up signals

The dashboard and filters show open signals, such as an SDS awaiting review or a substance without an instruction card. With create action you add a follow-up action in Actions.

In the employee app

In the employee app, staff look up a substance and see what to do in an emergency, the hazards, the published instruction card, where it is stored and the current SDS. Emergency services and anyone on site scan a storage location's QR code and see without login which substances are there, with extinguishing agents and emergency instructions.

A selection of what AI does in Hazardous substances

AI reads safety data sheets and writes summaries and instruction cards, and you decide what to adopt and approve.

Read the safety data sheet

AI reads the uploaded SDS and suggests data for the substance card, with a checkbox per line.

Updates for a new version

With a new safety data sheet, AI suggests additions and only adopts what you tick.

Summary per substance

AI automatically writes a short summary for the substance, which also appears in the employee app.

Generate an instruction card

AI creates an instruction card in the language you choose, which only becomes official after your review and approval.

This is a selection of the AI capabilities in this module, not everything. AI suggests, you decide. Nothing is applied without your approval.

Frequently asked questions

Questions about Hazardous substances

What if a supplier does not respond to an SDS request?

Set the request to reminder needed and send a reminder in one click. The supplier page shows the full follow-up and the average response time, and the dashboard keeps flagging missing sheets.

Does the QR code also work for the fire brigade?

Yes. A storage location's QR page is accessible without login and shows the emergency information prominently. For each location you can also create an emergency overview as a PDF for the emergency response binder or the fire brigade.

Is this a stock management system?

Deliberately not. The aim is to show where substances are, track quantities and keep the history; every movement is logged with name, date and reason.

Can an instruction card be in several languages?

Yes. You manage separate versions per language, each with its own status, and AI can generate directly in the target language.
