Know who is on site and whether they were cleared to come

Gate instruction handles everything around visitors, drivers, suppliers and subcontractors coming on site: invitations, details and certificates, induction and test, reception and a record of who is on site. The module deliberately keeps two questions apart: where is someone, and are they cleared to come.

Features

What you do with Gate instruction

Personal link, no login

The invitee completes, in your organization's branding, only the steps their route requires, such as details, induction, knowledge test, certificates, declaration and signature.

Visit status and file status

The visit status shows where someone is; the file status shows whether they meet every condition of their route. Only an approved file appears on the reception screen.

Reception screen per entrance

Reception sees who is expected today, who is on site and who has left, records the ID check and pass number, and signs visitors in and out.

Emergency list in one click

Everyone on site is in your attendance register. The emergency list PDF is fetched fresh at the moment of printing and always covers the entire site.

Certificates uploaded once

Each person appears once in the people register. An approved certificate that is valid on the visit date is reused, so a returning contractor does not upload their VCA certificate again.

Verification QR at the gate

Every passed induction gets a proof PDF with a verification QR code. The gatekeeper sees green, orange or red with name, company and induction, never the test score.

In practice

How it works

  1. 1

    Set up

Set up registration flows, templates and entrances with QR codes, for example per group of visitors, drivers, suppliers or contractors.

  2. 2

    Invite

Choose the group and enter the person and the visit. If the system finds a known profile, you decide whether to use it; nobody is matched on an email address alone.

  3. 3

    Prepare

The invitee completes the induction and test and uploads certificates in advance via their personal link. You approve or reject what needs review in the visit file.

  4. 4

    Receive

On arrival the visitor checks in with the QR code at the entrance or at the kiosk. Reception checks ID and pass and signs them in.

  5. 5

    Record departure

When the visitor leaves, reception signs them out. Every change is a separate line in the visit log.

In the employee app

Visitors, drivers, suppliers and subcontractors complete their preparation via a personal link without logging in: details, induction, test and certificates. On arrival they check in with the QR code at the entrance or at the kiosk.

Frequently asked questions

Questions about Gate instruction

Why is a visit not on the reception screen?

Because the file has not been approved yet, the visit is not planned for today, or your context is set to a different entrance. You can always find it under Visits, where a filter shows what still needs to be done.

Can two people use the same email address?

Yes. An email address is not an identity: a subcontractor may use one general address for several workers, and each gets their own profile.

Does a returning contractor have to upload their VCA certificate every time?

No, as long as the certificate is approved, valid on the visit date and the route allows reuse. The visit file shows which document was used.

Can someone complete an induction without a visit?

Yes. From the people register you can send an induction invitation to one person or in bulk. When the induction nears its expiry date, the person automatically receives a new invitation.
