Every nonconformity and complaint handled, with proof

Quality reports is the central point for customer complaints, internal nonconformities, supplier deviations, audit findings, service claims, improvement ideas and compliments. Every report follows a fixed route from reporting through investigation and measures to closure. You can only close a report once the owner, measures and verification are in place, so you can show an auditor what you did about each deviation.

Features

What you do with Quality reports

Report in three steps

With New report you describe the issue in your own words, choose the type and add the customer or supplier, project, photos and documents. AI suggests a title and severity, marked with an AI icon so you can check and change them.

Register with status filters

The register opens on open reports, with status buttons, search by title, customer or ID and filters for type and severity. You choose your own columns and can export the register, for example to Excel.

CAPA with root cause analysis

For structural or recurring problems you create a CAPA with a problem statement, root cause analysis using the 5 Whys, the root cause, CAPA measures and an effectiveness check.

Measures in the action list

Each measure gets a type, owner and deadline and appears straight away as an action in the central Actions list. You adopt measures suggested by AI with the plus button, or ignore them.

Closing with an automatic check

On the Verification tab an automatic check confirms that required fields, owner and completed measures are in place, and for a CAPA also the root cause and effectiveness check. If no measure is needed, you record that with a fixed reason.

Linked to customer or supplier

You link a customer or supplier from the external parties register to the report. The report then counts towards that party's file, and for suppliers also in Supplier management.

In practice

How it works

  1. 1

    Report

Someone reports via the platform, the employee app or the public quality form. The report comes in with the status Reported.

  2. 2

    Assess and assign

You assign an owner, check the suggested title and severity and link the customer or supplier. For a structural problem you opt for a CAPA.

  3. 3

    Cause and measures

You record the outcome of the investigation and, where needed, the root cause analysis, and assign measures with an owner and deadline. They run as actions in Actions.

  4. 4

    Verify and close

The Verification tab shows exactly what is still missing. Only when everything is complete and the closing person is filled in can you close the report, and with an approval route only after sign-off.

In the employee app

Employees report via the Quality report tile in the employee app, even without a connection: the app sends the report once it is back online. Customers and supply chain partners report without logging in via the public quality form in your organization's branding.

A selection of what AI does in Quality reports

AI fills in the title and severity of a report and proposes corrective actions, and you check and adjust everything.

Title and severity derived

AI reads the description the reporter types and derives the title and severity from it, marked with an AI badge so you can review and change them.

Proposed corrective actions

If AI has proposed corrective actions, you accept one with the plus icon or dismiss it, and an accepted action appears directly in Actions.

Questions about quality data

On the AI tab you ask questions about your quality data and get answers based on what is in the register.

This is a selection of the AI capabilities in this module, not everything. AI suggests, you decide. Nothing is applied without your approval.

Introducing ISO 9001: how to set up a quality management systemISO 9001 is the most widely known standard for quality management. It helps you deliver consistently what customers expect and keep getting better. Here is how to set up a system that fits your organisation instead of a pile of documents. CAPA: how to follow up corrective and preventive actions effectivelyCAPA stands for Corrective and Preventive Action. It is how you solve a problem for good and stop it from coming back. This article walks through the route from report to root cause, action and effectiveness check. Handling complaints: a fixed procedure from receipt to feedbackHandling complaints works better with a fixed procedure than with good intentions alone. When everyone knows what happens after the first report, the customer gets an answer sooner and your organisation learns from every complaint. This is what such a procedure looks like. Measuring customer satisfaction: methods, good questions and what to do with the resultMeasuring customer satisfaction means asking customers at fixed moments what they think of your work, and doing something with the answer. You can do it with a survey, the NPS question, a conversation or by analysing complaints. Here you read which method fits when and how to ask questions that give usable answers. Evaluating suppliers: criteria, scoring model and an example scorecardEvaluating suppliers means establishing, at fixed moments and with fixed criteria, whether a party delivers what you need. What you buy or outsource stays your responsibility towards the customer. Here is how to build an evaluation that stays workable. KPIs and objectives for quality, safety and environment: examplesGood KPIs and objectives turn a management system into a steering instrument: you know where you want to go and see in time whether it is working. This guide shows how to formulate an objective and gives examples for quality, safety and environment. Registering and handling a nonconformity: steps and an NCR exampleA nonconformity is a situation in which a requirement is not met, such as a specification, a procedure, a legal requirement or a customer agreement. You record it in an NCR (nonconformity report), limit the damage straight away, find the cause, take a corrective action and close it only once the effect has been checked. Below are the steps, the fields of a good NCR form and a worked example.
Frequently asked questions

Questions about Quality reports

When do I create a CAPA instead of a regular measure?

For structural or recurring problems that call for root cause analysis and an effectiveness check. A quick correction, such as replacing a product, is a regular measure.

Can customers report a complaint directly?

Yes, via the link to the public quality form, without logging in. You find the link under Settings → Public report forms and can add it to your email signature or website, for example.

Why doesn't the form ask for the severity?

Because AI derives the severity from your description, just like the title. The AI icon shows that nobody has confirmed it yet. Once you choose a severity yourself, the icon disappears.

What happens to compliments?

Compliments are recorded without severity, CAPA or nonconformity workflow and count in the statistics. A good signal for teams and the management review.
