Show that you meet laws, permits and customer requirements

Compliance obligations is your register of binding obligations: laws and regulations, permits, and customer and industry requirements. For each obligation you record whether it applies to you, who is responsible and whether you can demonstrate compliance. Assessments, evidence and follow-up sit together in one file.

Features

What you do with Compliance obligations

All binding obligations

Laws and regulations, permits, customer requirements, industry or certification requirements and other binding obligations, per domain: from safety and quality to environment and food safety.

Applicability with justification

For each obligation you choose applicable, to be assessed or not applicable. Not applicable always requires a justification, so you can explain it during an audit.

Assessment history

Each assessment is a separate record with result, date, assessor and explanation. The outcome of the latest assessment is the current status.

Evidence from documents

Link documents from document management, add attachments or write a short evidence note. The file stays in document management, so version control keeps working.

Action straight away

When the result is partly compliant or not compliant, you create an action with owner and deadline from the assessment itself; for not compliant, as a high-priority CAPA.

Timely reminders

You set the assessment frequency per obligation. When the date approaches or passes, you get a notification and the obligation appears under assessment due.

In practice

How it works

  1. 1

    Add an obligation

Click Add obligation and fill in the title, domain, source, type and the concrete obligation in plain language. Each obligation gets a code automatically.

  2. 2

    Determine applicability

Indicate whether the obligation applies, and whether it covers the whole organization or specific locations or processes.

  3. 3

    Owner and frequency

Assign a job role as owner and choose how often you assess, from monthly to yearly or a custom interval.

  4. 4

    Assess

Record the result with New assessment, add evidence such as a measurement report or the permit, and save it.

  5. 5

    Follow up deviations

Create an action straight away for a deviation and follow it up in the central Actions list.

Frequently asked questions

Questions about Compliance obligations

How often should an obligation be assessed?

You set that per obligation. When the next assessment date passes, the obligation appears under assessment due and you get a notification.

Can health and safety and quality requirements go in the same register?

Yes. The register spans all domains: you choose the domain for each obligation and filter the overview by domain.

Does Not compliant create an action automatically?

Only if you switch that on in the assessment window. That way you decide whether follow-up is needed and who takes it on.

Is Not yet assessed the same as Not compliant?

No. Applicability, status and assessment planning are three separate attributes. An obligation without an assessment shows Not yet assessed, which is different from Not compliant.
